Reporting directly to the General Manager Human Resources , the incumbent’s key role will be to proactively support the execution of HR processes, manage cross-functional HR projects, identify and address gaps to mitigate risks. Ensure high quality service delivery across HR operations including Talent Acquisition, Compensation & Benefits, Expatriate Engagement, Learning & Development, encompassing all associated administrative responsibilities. Oversee the entire lifecycle of expatriate employee experiences and payroll processes; manage recruitment, onboarding and ongoing support for international mobility requirements, ensuring a smooth, compliant and positive experience for expatriate employees.
He/She will have, among other things, the following responsibilities (non-exhaustive list):
• support the implementation of HR processes, mobilizations and demobilizations, payroll and financial activities in the Democratic Republic of Congo;
• To be the main point of contact for all company employees and managers for expatriate HR processes and payroll and financial administration;
• Resolve day-to-day HR and payroll issues for the business and build relationships with internal stakeholders and service providers ;
• Support the effective and efficient deployment of HR and payroll processes and practices including : recruitment support , administering onboarding, offboarding, change and transfer processes, HRIS administration, payroll processing, HR reporting and filing, financial reporting, mobility coordination and support);
• Manage the recruitment process post-hire : Ensure a smooth transition from candidate selection to offer acceptance, prepare and present competitive job offers and align with benchmarking data to maintain pay equity and alignment with organizational standards, this includes: creating customized job offers, accurate documentation and effective communication with selected candidates; Ensure all offers meet company compensation guidelines, comply with internal policies and maintain a positive candidate experience during the offer negotiation and onboarding preparation stages;
• Manage the hiring and retirement process: Ensure completion and processing of all new hires, changes and employee termination documents in a timely manner;
• Provide compensation and benefits support: Support the administrative management of employee benefits (time off, medical coverage and life insurance), administer payroll in collaboration with the Global Mobility Coordinator to upload new arrivals, terminations and all updates/changes to the payroll system;
• Handle HRIS- SuccesFactors : Support the mobility HR team by entering employee master data into the system, maintaining and ensuring data quality in the HRIS system ( SuccessFactors ); administer and maintain employee files on SuccessFactors ; write and update management, joining, departure and transfer procedures;
• Prepare Reports: Prepare all new hire files as per the New Start Checklist (digital and physical), update employee files for all changes, close terminated employee files as per the Termination Checklist, maintain employee files as required on relevant systems, ensure monthly HR and Payroll reporting data is correct and up to date;
• Process Payroll and Finance Activities: Execute end-to-end payroll processing accurately and quickly, ensuring compliance with organizational and regulatory standards; Prepare and post payroll journals to the general ledger, ensuring payroll costs are properly allocated and reflected in financial statements; Perform payroll to trial balance reconciliation (SAP payroll and trial balance) to identify and resolve discrepancies; Initiate and manage payroll-related bank transfers in a timely manner, ensuring sufficient funds for disbursements; Coordinate year-end payroll audits, providing all required documentation and supporting detailed financial reviews.
Job requirements
Qualifications and experience.
• Hold a university degree in human resources, psychology, law, business management or a similar field;
• Have 5 years of professional experience in the field of human resources, including expatriate mobility and payroll experience with financial knowledge, including at least 3 years working in a global organization ;
• Having experience in the mining industry is preferred;
• Hold a job seeker card (ONEM).
Technical skills
• Have a solid command of MS Office -Word, Excel and Powerpoint;
• Excellent verbal and written communication skills, in French and English.
• Have experience using SAP SuccessFactors software ;
• Have specific experience in expatriate mobility;
• Have knowledge and experience of HR processes, and project and change management,
• reporting skills ;
• Have knowledge of the fundamental conditions of the DRC labor code.
